Conditions of hire
1.
The conditions of hire form is sent
to the hirer together with an acceptance slip, which must be signed and
returned to the Bookings Secretary with the appropriate hire fee by the day of
hiring.
2.
The Village Hall
Management Committee reserves the right to refuse a booking and they are not
obliged to state the reason.
3.
Payment of the
hire charge is to be made to the Bookings Secretary (cheques made payable to
Hughenden Valley Village Hall).
4.
Occasional Hirers
will be required to pay a £200 deposit, which will be refunded provided that
all conditions of hire have been observed. Such refund will be made within 14
days following date of hire.
5.
It will be the
responsibility of the hirer to ensure that there are no infringements of the
Copyright Acts covered by the Performing Rights Society. The hirer hereby
indemnifies the Village Hall Management Committee against any infringement,
which may occur.
6.
No excisable
liquor shall be supplied or sold either directly or indirectly during an event
at which a charge is made, unless an occasional licence to cover such supply or
sale has been obtained by the hirer before the event.
7.
The hirer shall
be responsible for maintaining good order and behaviour of persons using the
village hall and shall provide approved stewards if required by the Village
Hall Management Committee. In the event of failure to observe this condition
the Village Hall Management Committee reserve the right to terminate the hire
at any time.
8.
The hirer shall
ensure that the accommodation is left in a clean and tidy condition and all
rubbish taken away from the premises.
9.
The hirer shall
be responsible for any loss or damage to the premises. The Village Hall
Management Committee reserves the right to make good any such loss or damage,
the cost of which the hirer shall be liable to pay on demand.
10. The hirer shall be responsible for
keeping the fire exits and fire fighting equipment accessible.
11. The hirer shall be responsible at the
end of the hiring for, shutting the windows, locking the doors, turning off all
the lights and returning the key to the key holder.
12. Sub-letting of the premises is not
permitted.
13. The hirer shall be responsible
for, and will indemnify the Village Hall Management Committee against all
liability for personal injury, except in so far as the same may be caused by
the negligence of the Village Hall Management Committee which, but for the
hiring would not have arisen.
14. The Village Hall Management Committee
will not be held responsible for any loss or damage to hirers’ property during
the time of hiring.
15. Evening functions will finish at the
specified and agreed time unless an extension has been agreed.
16. The capacity of the main hall is 200
and this figure must not be exceeded.
17. The Village Hall is in a residential
area and the hirers are to ensure that no inconvenience is caused to nearby
residents and particular emphasis is paid to the avoidance of slamming of car
doors, racing of engines, shouting, etc.
18. The signature of the hirer is deemed
to constitute acceptance of these conditions.
